Foster Care Administrative Assistant (Waxahachie)

Position Summary:

Provides leadership and direction of the Foster Care Administrative Support Staff team in its work to assist the Foster Care program through such related duties as clerical, records, project management, supportive resource for foster parents and program staff, training coordination and documentation, intake support, mail management, recruiting, and hosting responsibilities.

Essential Job Functions:

  • Responsible for generating regular compliance reports to Directors and staff, generating and distributing files, reports, schedules, and any other pertinent documents.
  • Assists in Foster Parent recruitment in assembling and mailing out application packets, tracking prospective foster parent initial documentation, and communicating with them as needed.
  • Responsible for developing and maintaining tracking system for documenting all foster homes’ Inspections.
  • Maintaining spreadsheets of foster homes’ inspection dates and due dates, notifying foster homes of impending inspections needed, generating regular compliance reports to Directors and other staff members.
  • Develop and maintain tracking system for ensuring that all criminal history and background checks and annual subsequent checks are completed on Foster Parents and all relevant non-staff individuals.
  • Provides clerical support to Director and staff and assists all staff and foster parents in retrieving documentation from files, copying, faxing, and mailing.

Working Conditions:

  • Position is performed in a typical office setting.
  • Utilizes typical office equipment.
  • Occasional local travel using employee’s own vehicle.
  • Schedule is typical office hours with occasional evening and/or weekend hours.
  • Position is subject to mild/moderate stress.

Job Requirements:

       Education and Experience:

  • Must be at least 18 years of age.
  • Must have valid Texas driver’s license and good driving record.
  • Bachelor’s degree preferred or High school degree
  • At least 2 years previous experience in a job performing related tasks.

This position is full-time and the hours are Monday- Friday from 8:00 a.m. to 5:00 p.m., however, some weekends and evenings are to be expected.

      

Skills:

  • Must be highly organized, self-starter, able to prioritize tasks and manage competing demands, able to work effectively with minimal supervision, ability to work as a member of a professional team.
  • Must be familiar with Word, Outlook, and Excel computer programs.
  • Must have excellent interpersonal and telephone skills.
  • Must have excellent skills related to use of computer and Microsoft Office software; good typing skills (60 WPM or above), and able to effectively use other office equipment.
